We are looking for a Tender & Bid Specialist to coordinate and manage the preparation and submission of high-quality, compliant bids and proposals. You will work closely with cross-functional teams to ensure tender requirements are met, documentation is accurate, and submissions are delivered on time.
What you will be doing:
Coordinate and support the end-to-end tender and bid documentation process, ensuring the creation of compelling, high-quality, and compliant submissions
Analyse tender requirements, eligibility criteria, and compliance obligations, identifying potential gaps and coordinating solutions with relevant internal teams.
Collaborate with internal teams, including sales, engineering, finance, and legal and external consortium partners to gather the necessary input for proposals
Prepare and manage all required bid documentation and other supporting materials.
Coordinate and manage multiple bids and tenders simultaneously, adapting to changing priorities and demanding deadlines.
Maintain and keep proposal templates, document libraries up to date to improve efficiency and consistency for internal processes.
Support the preparation of compelling proposals by translating technical and business input into clear, structured, and customer-focused submissions.
Build expertise in EU, NATO, and international procurement frameworks and requirements.
Contribute to the continuous improvement and development of DefSecIntel's Tender & Bid function as the company grows.
What we are looking for:
Proven experience in tender, bid, proposal, or public procurement processes, ideally within the security and defense sector.
Strong understanding of procurement requirements, compliance criteria, and tender documentation.
Clear written and verbal communication skills in English and Estonian, with strong attention to detail and the ability to produce clear, accurate documentation.
Strong organizational and project coordination skills, with the ability to manage multiple bids and tight deadlines.
Ability to work independently, take ownership, and coordinate effectively with internal teams and external partners.
A calm, proactive, and structured approach in a fast-paced environment with changing priorities.
Eligibility to obtain nationalsecurity clearance required for the role.
